Not everyone should edit pricing, void invoices, or shift orders between stores. Role-based access keeps honest mistakes from turning into revenue leaks and protects customer data from unnecessary exposure.

Start from roles that match your floor: counter staff, production leads, store managers, and central admins. Each role should see only what they need to complete today’s work.

Designing permissions people will follow

Avoid fifty micro-permissions on day one. Launch with broad roles, observe where teams get blocked or where shortcuts appear, then tighten.

Pair permissions with training: if someone cannot perform a refund, they should know exactly who to call and how long that approval takes.

Audit quarterly. Staff change, and dormant accounts are a common gap—especially in seasonal hiring cycles.
